ReservationKey vs. WebRezPro: A Simpler Choice for Small Properties
Compare pricing, payment-provider choice, and everyday usability, including one seven-room owner's reported WebRezPro quote.
Running a small inn or bed and breakfast means making careful choices about where your money and time go. Your reservation software should make the day easier, fit your budget, and support the way you welcome guests.
We've recently heard from several owners coming to ReservationKey from WebRezPro with concerns about subscription pricing tied to their choice of credit card processor. One conversation with a seven-room property owner brought the issue into focus. She wanted a straightforward system, reasonable costs, and the freedom to keep making decisions that worked for her business.
Here is how ReservationKey and WebRezPro compare on those priorities.
A seven-room owner's pricing example
The owner told us she had been offered two options by WebRezPro: $200 per month to keep her existing credit card processor, or $65 per month if she switched to WebRezPro's payment service, with credit card processing quoted at 3.4%.
These are the figures she reported to us, not independently verified WebRezPro rates. They should not be treated as an offer available to every property or proof of a policy applying to every customer. The comparison below assumes her dollar quote is in US dollars; its currency and full terms have not been independently confirmed.
ReservationKey's published pricing puts a seven-room property in the up-to-10-unit plan at $44 per month, before optional extras and payment processing.
| Option | Monthly software | Payment processing |
|---|---|---|
| ReservationKey: published base plan | $44 | Your supported provider's charges, billed separately |
| WebRezPro: keep existing processor, as reported | $200 | Existing provider's charges, in addition to the subscription |
| WebRezPro: switch payment service, as reported | $65 | 3.4% as reported; other processing terms unverified |
On those assumptions, ReservationKey's base subscription is $156 less per month, or $1,872 over 12 months, than the reported $200 option. Compared with the reported $65 option, the base subscription difference is $21 per month, or $252 over 12 months. These are software-fee differences, not a promise of total savings or equivalent packages.
For seven rooms, ReservationKey's optional channel manager adds $25 per month, bringing the software total to $69 per month. Optional verified email adds $2 per month. Include the extras you need, applicable taxes, and each provider's full processing terms when comparing quotes. Check your configuration in our pricing calculator.

Look beyond the monthly subscription
A lower software subscription can be attractive. Its value depends on the payment costs that come with it.
For example, $10,000 in monthly card payments at 3.4% would produce $340 in percentage-based processing charges. Add the reported $65 subscription and the subtotal would be $405, before any other applicable charges. This is an illustration using the owner's reported rate, not a verified WebRezPay bill. ReservationKey customers also pay their chosen provider's processing charges.
To compare fairly, use the same card volume and transaction mix for each option. Ask about per-transaction fees, gateway or terminal costs, and differences between online and in-person rates. A headline percentage alone may not describe the full bill.
WebRezPro's public pricing page requests a quote tailored to the property's type and size. Its WebRezPay page describes an embedded payment service powered by Fullsteam, with rates customized for each property. We did not find public confirmation of this owner's $200, $65, or 3.4% figures on those pages.

Payment-provider choice matters
Changing processors can mean reviewing rates, replacing equipment, and adjusting familiar routines. If your existing arrangement works well, compatibility deserves a place near the top of your software checklist.
ReservationKey supports multiple payment providers and gateways, including Square, Stripe, Authorize.net, PayPal, and Yapstone. Our published software pricing is based on unit count and selected extras. You can evaluate supported payment options around your property's needs.
That does not mean every merchant account or terminal can move across unchanged. Check your specific provider, country, gateway, and equipment with us before planning a switch.
WebRezPro also publicly describes third-party payment gateway integrations. The question to put in writing is whether your preferred arrangement is available for your property, and what subscription price applies if you keep it.
A straightforward system for the work you actually do
Price was only part of the seven-room owner's decision. She particularly liked how simple and straightforward ReservationKey felt.
She had also tried Cloudbeds in the past and felt it cost more than she wanted to spend, with more features than her property needed. That was her experience and assessment of fit, rather than a claim about every Cloudbeds customer or its current pricing.
WebRezPro offers a broad set of tools, including front-desk operations, housekeeping, group management, accounting, and reporting. Its pricing page also lists a commission-free website booking engine and unlimited users. Those capabilities may be valuable to your operation.
For a small property, the practical test is how comfortably you can handle an ordinary day: check availability, make a reservation, collect a deposit, and find a guest's information.
ReservationKey's calendar puts bookings and availability in one view. Its payment tools let you collect deposits, charge supported saved cards, and send payment links from the reservation workflow. You can judge the fit by trying the tasks you already do every day.

Your guests should not have to fund features you do not need
The same owner raised another concern. While shopping around, she had encountered systems promoting new AI features and suggestions that additional costs could be passed along to guests.
After ten years in business, with many returning guests, she did not want to introduce extra fees to cover software costs. Those relationships mattered more to her than another feature on a sales page.
We respect that choice. ReservationKey's approach is to keep the software affordable and useful, without asking you to add a technology or booking fee to each reservation to justify its cost. You decide how to price your stays and care for your guests.
Useful automation can save time. The test is whether a feature helps your business enough to justify its cost. You should be comfortable declining features you do not need, and you should not have to change your approach to hospitality to make the software budget work.
