How do I add guest details?
You can either add guest details by typing in the contact details area, or you can click "Search" to search for guests after you type in the first and/or last name (or partial name). If not name is found, then you can add a guest from the pop-up search box, or you can just add from the reservation page. Guests added from the reservation page are automatically added to the Guests database.
Is it possible to add additional details to the guest details?
You can add as many additional details as you need by clicking the "Add a Field" link below the contact details. You can select set the description for the field you want to add.
How many credit cards can I add? Is it secure?
You can add as many credit cards as you want. The card information is stored on our secure servers. The card number is normally hidden on the reservation summary page until "Reveal" is clicked.
How do I view guest history? Can I see past reservations?
If there is more than one reservation in the system for your guest, other reservations appear in the Reservations box in the top right section of the screen. You can click each line in the reservation box to see the reservation information.
What if I need to change dates and rooms for a reservation? Is that easy to do?
If the reservation you are working on is for a single unit, you can change dates in the Details section. If the reservation is for more than one unit, you need to click, Change in the Details panel in order to bring up the availaility calendar from which you can easily add or remove rooms as needed.
How do I add extra items to a reservation? Such as discounts, items for sale, deposit, etc?
Each of the items in the Details panel can be clicked. To change the discounts applied, for example, click Discounts, and then enter the new discount, or select from a discount you previously entered into the system. To add payments, click the Paid link, and then enter the payment information.
Is it possible to print receipts?
You can print receipts using the Correspondence button. This will open a new window, where you can select your document template. Then click the Print Icon, just above the main editor window. The print icon will strip away everything but your document text. You can easily save the receipt by clicking Save Document. To view saved documents and messages in queue and sent messages, click View History at the top of the correspondence window.
How do I send emails to guests through the program and save copies of sent messages?
Click the correspondence button to bring up the correspondence window. You can select from saved templates or start a new message. All messages sent will automatically be saved to the history section. You can also place messages in queue to be sent at a later date, or edit messages already in the queue.
How do I create a reservation for a guest that has stayed with us previously?
Enter a first and/or last name in the guest name fields and click search. Then click on the guest name in the pop-up window if a matching contact was located.
Is it possible to add select guest information from a template so I don't need to re-type guest information for new reservations?
You can create a template and then pull that information into a reservation by using the search button next to the Company field. Instead of adding a reservation to an existing contact, this method takes the guest information and creates a new contact. This is especially useful if you are always taking reservations from one company, but for different guests.
